IT Digital Workplace Operations Specialist (d/f/m)

um Teil unseres Teams „Digital Workplace - Collaboration Services“ zu werden.

Sie werden Teil des Digital Workplace-Teams innerhalb der Direktion für Informationstechnologie sein, das für alle Technologien verantwortlich ist, die Menschen heute am Arbeitsplatz für ihre Arbeit nutzen.

Innerhalb des Digital Workplace kümmert sich das Collaboration Services Team um Anwendungen vor Ort und in der Cloud wie E-Mail, Instant Messaging, Webkonferenzen, Eventkonferenzen, Telefonie, IT-Ausstattung und IT-Services in Besprechungs- und Videokonferenzräumen, Social-Media-Tools für Unternehmen, Filesharing-Anwendungen und Produktivitäts-Tools wie Google Workspace.

Ihre Aufgabe innerhalb des Collaboration Services Teams umfasst die Phasen RUN, BUILD TO RUN und Entry Into Service für alle Workspace-bezogenen Dienste.

Dazu gehört die Verwaltung von IT-Ausrüstung und -Diensten für Besprechungs- und Videokonferenzräume, einschließlich der Durchführung von Veranstaltungen mit Web-Live-Lösungen wie Google Stream.

Sie berichten an den Leiter Collaboration Services und gelegentlich an den Leiter Digital Workplace.

Sie arbeiten eng mit dem Workspace Product Manager und dem Restricted Collaboration Product Manager zusammen.

Die Arbeitsmethodik des Digital Workplace basiert auf Kanban und zielt darauf ab, Aufgaben in möglichst kurzen Zykluszeiten zu erledigen, um die Kundenzufriedenheit zu verbessern.

Diese Methodik erfordert eine hohe Reaktionsfähigkeit auf Veränderungen, da sich die Prioritäten sehr häufig verschieben, keine festgelegten Verantwortlichkeiten bestehen und die Teams über ein hohes Maß an Eigenverantwortung verfügen.

Bei dieser Arbeitsweise umfasst Ihr Aufgabenbereich Folgendes:

• Unterstützung bei der globalen Gesundheit der Workspace-Dienste in AH (Verwaltung von Rückständen bei Vorfällen, Vollständigkeit der Wissensdatenbank, Effizienz bei der Lösung von Vorfällen, Anforderungskatalog, CMDB-Aktualisierungen, Umsetzung von Änderungen, Erfüllung von SLAs, Erstellung von Dashboards)
  
• Unterstützung des Workspace-Produktmanagers bei allen RUN-, BUILD TO TUN- oder BUILD-Aktivitäten.
  
• Durchführung der RUN-Aktivitäten von Workspace.
  
  Dazu gehört die Lösung von Vorfällen im Zusammenhang mit IT-Geräten in Besprechungs- und Videokonferenzräumen.
  
  Durchführung von Endbenutzerbefragungen zur Definition der Raumausstattung gemäß den AH-Standards.
  
  Vorwegnahme neuer Anforderungen zur Weiterentwicklung des AH-Katalogs.
  
  Verwaltung des IT-Gerätebestands.
  
  Zusammenarbeit mit Lieferanten bei der Installation, Verlagerung und Entfernung von Geräten, um die Abnahme der Arbeiten sicherzustellen.
  
  Erstellung von Bestellanforderungen für alle neuen Anfragen.
  
• Führen Sie die RUN-Aktivitäten des Airbus Live-Dienstes durch.
  
• Arbeiten Sie mit dem Webkonferenzteam zusammen, um Backup-Support anzubieten.
  
  Ebenso wird das Webkonferenzteam Ihre Aktivitäten bei Bedarf unterstützen.
  
  
  
• Festlegung regelmäßiger Verbesserungen im Rahmen der Tätigkeit.
  
  
  
• Sicherstellung der ordnungsgemäßen Inbetriebnahme aller neuen Funktionen der Anwendungen in Ihrem Zuständigkeitsbereich.
  
  In diesem Zusammenhang müssen Sie bereit sein, Ihre Anwendungen ständig mit neuen Versionen zu verbessern, die manchmal intern oder von den Softwareanbietern entwickelt werden.
  
• Verwaltung des Prozesses zur Behebung schwerwiegender Störungen unter Einbeziehung der richtigen Rollen und Akteure.
  
• Kümmern Sie sich um Eskalationen, indem Sie für eine schnelle Lösung sorgen und die kontinuierliche Verbesserung unserer Prozesse sicherstellen.
  
• Tragen Sie zu regelmäßigen Überprüfungen der Arbeitsabläufe bei, einschließlich der Teilnahme an der PI-Planung mit der Gruppe, wöchentlichen Teambesprechungen und Produktteam-Besprechungen.
  
  
  
• Dokumentieren Sie den Umfang der Aktivität.
  
• Verwalten Sie die Beziehung zum Service Desk im Rahmen der Aktivität.
  
• Sorgen Sie für den richtigen „Shift-Right-Ansatz”, indem Sie täglich mit dem IT-Service-Desk kommunizieren.
  
• Unterstützen Sie den Collaboration Services Architect beim Erstellen oder Aktualisieren der Architekturdossiers Ihrer Anwendungen.
  
  Darüber hinaus helfen Sie ihm oder ihr bei der Bewertung neuer Funktionen und Technologien im Zusammenhang mit Ihren Anwendungen.
  
  
  
• Beteiligen Sie sich an der strategischen Produkt-Roadmap Ihrer Anwendungen, indem Sie den Collaboration Product Managern kontinuierlich neue Ideen vorschlagen.
  
  Dazu gehört auch die Weiterentwicklung der Service-Roadmap Ihres Bereichs.
  
  
  
• Arbeiten Sie eng mit dem Change Manager der Abteilung zusammen, um das Änderungsmanagement mit Endbenutzern und wichtigen Stakeholdern wie VIPs und Assistenten sicherzustellen.
  
  In diesem Zusammenhang ist es von entscheidender Bedeutung, die Betriebsanforderungen in nutzbare Leitfäden für die Endbenutzer und Wissensartikel für die Service Desk-Mitarbeiter zu übersetzen.
  
  
  

Folgende Qualifikationen / Fähigkeiten bringen Sie mit:

• Studium im Bereich IT oder einer vergleichbaren Studienrichtung
  
• IT-technischer Hintergrund oder gleichwertige Erfahrung
  
• Ein gewisses Maß an Erfahrung im IT-Servicemanagement oder als IT-Produktmanager
  
• Erfahrung in der Verwaltung von Multimedia-Geräten
  
• Erfahrung in der Verwaltung von VIP-Multimedia-Anfragen
  
• Erfahrung in der Verwaltung von Live-Web-Sessions mit großem Publikum ist von Vorteil

In order to manage current and future projects, Airbus Helicopters is looking for you to join the team in Donauwörth as soon as possible as our new

IT Digital Workplace Operations Specialist (m/w/d)

to join our Digital Workplace - Collaboration Services Department.



You will be part of the Digital Workplace team inside the Information Technology Directorate responsible for all the technologies people use to get work done in today’s workplace.

Inside the Digital Workplace, Collaboration Services Team is taking care of applications on premises and in the cloud like email, instant messaging, web conferencing, event conferencing, telephony, IT equipment and IT services in the meeting and video conference rooms, enterprise social media tools, file sharing applications and productivity tools like Google Workspace.



Your role within the Collaboration Services Team will encompass the RUN, BUILD TO RUN, and Entry Into Service phases for all Workspace related services.

This includes managing IT equipment and services for meeting and video conference rooms, including running events with web live solutions like Google Stream.



Your location

At our Donauwörth site, located on the banks of the river Danube, we develop helicopters from the initial idea to the airworthy product.

Your tasks and responsibilities:

You report to the Head of Collaboration Services and from time to time to the Head of Digital Workplace.

You will work closely with the Workspace Product Manager and the Restricted Collaboration Product Manager.

Digital Workplace working methodology is Kanban with the objective to focus on getting things done on the shortest cycle times as possible to improve customer satisfaction.



That methodology implies high responsiveness to change as priorities are shifting very frequently, no prescribed responsibilities and high team empowerment.



In that way of working, the scope of your job will be:

• Support on the global health of Workspace services in AH (incident backlog management, knowledge database completeness, incident resolution efficiency, request catalog, CMDB updates, Implementation of Changes, SLA fulfillment, dashboard creation)
  
• Support the Workspace Product Manager in any RUN, BUILD TO TUN or BUILD activity.
  
  
  
• Perform the RUN activities of Workspace.
  
  This means solving incidents related to IT equipment in meeting and video conferencing rooms.
  
  Conducting end-user interviews to define room equipment in accordance with AH standards.
  
  Anticipating new demands to evolve the AH catalog.
  
  Managing IT equipment stock.
  
  Liaising with suppliers for equipment installation, relocation, and removal, ensuring work acceptance.
  
  Create purchase requisitions for all new requests.
  
  
  
• Perform the RUN activities of the Airbus Live service.
  
  
  
• Team up with the Web conferencing team to offer back up support.
  
  In the same way, the Web Conferencing team will back up your activity when needed.
  
  
  
• Define regular improvements in the scope of the activity.
  
  
  
• Ensure the proper Entry to Service of any new feature of the applications inside your scope.
  
  Regarding this aspect, you need to be ready to permanently improve your applications with new releases sometimes developed in house or by the software vendors.
  
  
  
• Manage Major Incident resolution process, by involving good roles and actors.
  
  
  
• Take care of escalations, by ensuring quick resolution and ensuring continuous improvement of our processes.
  
  
  
• Contribute to regular reviews on Workspace routines including participation to PI Planning with the Group, weekly team meetings, product team meetings
  
• Document the scope of the activity
  
• Manage the relationship with the Service Desk in the scope of the activity.
  
  
  
• Ensure the proper “shift right approach” having daily exchanges with the IT Service Desk.
  
  
  
• Support the Collaboration Services Architect in building or updating the architecture dossiers of your applications.
  
  Furthermore, you will help him or her in evaluating new features and technologies connected to your applications.
  
  
  
• Participation in the strategic product roadmap of your applications by continuously proposing new ideas to the Collaboration Product Managers.
  
  This also includes evolving the service roadmap of your perimeter.
  
  
  
• Work closely with the department Change Manager to secure the change management with end users and key stakeholders like VIPs and Assistants.
  
  In this aspect, it is key to translate the operation requirements into usable guides for the end users and knowledge articles for the Service Desk Agents.
